DOCUMENT DISCIPLINE

The Document Set Must Match the Transaction

Commodity transactions do not use one universal document package. The required set depends on the product, origin, destination, Incoterm, supplier, buyer, carrier and applicable regulatory requirements.

Eagle X coordinates the checklist and timing so the commercial parties can identify missing documentation before execution or shipment.

Commercial Documents

Transaction documents aligned to the agreed commercial terms.

02

Product Documents

Technical specifications, quality records and applicable product certificates.

03

Origin / Export Documents

Documents required by the origin program and destination market.

04

Inspection Records

Independent inspection documentation where contracted or required.

DOCUMENT WORKFLOW

How the Documentation Review Moves Forward

01

Transaction Requirements Are Defined

Product, origin, destination, shipment basis, inspection requirements and buyer documentation needs are identified.

02

Document Checklist Is Built

Eagle X organizes the expected commercial, product, origin and shipment documents for the applicable transaction.

03

Available Documents Are Collected

Supplier, logistics and third-party documents are gathered and reviewed for completeness and consistency.

04

Gaps Are Identified

Missing, outdated, inconsistent or destination-specific requirements are flagged before execution proceeds.

05

Final Transaction Set Is Coordinated

The applicable documents are aligned with the commercial workflow and shipment timing.

INDEPENDENT INSPECTION

Inspection Can Be Incorporated Into the Transaction

When required, Eagle X can coordinate with an independent inspection company selected for the transaction. The inspection provider performs the inspection and issues its own reports or certificates.

Q

Quality Inspection

Product quality can be checked against the agreed specification when inspection scope includes quality verification.

W

Quantity / Weight

Quantity, weight or cargo count may be independently verified when included in the inspection scope.

L

Loading / Shipment

Loading, container condition, cargo preparation or shipment observations may be incorporated where commercially appropriate.

S

Sampling / Testing

Sampling or laboratory testing can be arranged through the applicable inspection or laboratory provider when required.

Important: Eagle X coordinates the inspection requirement but does not issue independent inspection certificates or laboratory results unless explicitly acting through an authorized provider.

PRODUCT-SPECIFIC REQUIREMENTS

Documentation Changes by Commodity

The document checklist must follow the actual product and destination.

01

Sugar

02
